Girlings Retirement Rentals Limited (“Girlings”) takes your privacy very seriously.  Personal information is valuable to us and we recognise its value to you. This policy tells you how we may collect, use and give out your personal information. 

This policy only applies to Girlings and our website and not to any third parties to which there are website links.

We do not request any personal information when you are browsing our website. If you choose to ask us to telephone you or contact you in any way we will need some information from you. Any information you do give us is strictly private, can only be used in certain limited ways and as we are registered under the Data Protect Act we will never give your information to anyone who does not need it to do their job. By using our website you are agreeing to allow Girlings to collect and use information in the way we describe in this Privacy Statement.

What information do we collect and how is it collected?

If you telephone us, ask us to call you back, email us, or complete a website enquiry form we may ask for your name, address, telephone numbers and email addresses. We can also ask you for other contact information so we can give you information relating to our products and services.

If you decided to register with us as a prospective tenant we may ask you for information related to your preferences which will help us to find you a suitable property. 

Landlords registering their properties with us may also be asked for personal information to assist us in letting their property.

Most of the personal information we use comes directly from you but with your consent we may also obtain information from other sources too, such as medical and financial references and credit reference agencies when you decide to rent one of our properties.

It may be that you provide us details of credit or debit cards or bank accounts in making payment to us. Any such information (confidential financial information) will be disclosed only in accordance with the disclosure policy below.

If you enter a competition or promotion we may ask your name, address, telephone number and e-mail address.

Why do we need your personal information?

Our main use of personal information is for handling your letting/tenancy and dealing with your day to day enquiries.  So it is very important that the information we use is correct.  We try to ensure the information we hold is accurate and up to date.  If you have given us any personal information please tell us if there are any changes in your circumstances.

Having your information helps us to tell you about the products and services that best suit your needs. Your information also helps us to:

Traffic Data

This web site uses IP (Internet Protocol) logging to prevent mis-use and collect customer data. This data does not contain any personal information or contact details, thus maintaining your anonymity. The logged data enables us to prevent hacking and to analyse customer activity. In compliance with the Freedom of Information Act 2000, upon request we must provide you with all the data relating to your personal corresponding Wide Area Network (WAN) IP address.

We operate detailed internal procedures to protect the security and confidentiality of your personal information. We have strict security procedures covering the storage of your information in order to prevent unauthorised access or misuse and to comply with the terms of the Data Protection Act 1998.

Disclosure policy

Under the law, if we collect information we are allowed to pass it or disclose it only to certain authorised individuals or companies who we might use to carry out our services. But if we do this we only give them the basic information they need to do their job, no other details are disclosed.
